“As part of the Buying department you will report directly to the Management Assistant of the Commercial department, supporting both the Digital Director and the Digital Marketing Director. It is your job to allow the managers to function optimally and to support them through administrative and organizational activities. ”

Daily Activities

Your secretarial responsibilities involve monitoring the inbox and picking up action points, in addition to coordinating meetings internally and externally. You will also manage agenda’s and any action points or deadlines. If you cannot take action yourself, you will forward the issue to someone who can as well as ensuring full processing thereof. 

The administrative responsibilities entail drafting and sending correspondence to external parties at your own initiative, as well as drawing up emails based on your manager’s instructions. You will also draft written reports of discussions or meetings of the managers and MT members, while also sharing the minutes with stakeholders and archiving them in a secured and organized manner together with all other relevant documents.

A Management Assistant with Action is proactive and result-oriented, with a knack for planning and organizing. You are well able to structure activities and projects, as well as sticking to the agreed upon deadlines and guidelines. Simplicity is key, your work that intricate things can be solved efficiently and effectively. You actively seek out the wishes and needs of internal clients and provide in a timely manner. A flexible and service oriented attitude is also important, in terms of wanting to help colleagues while remaining positive. Not only are you willing to help colleagues by taking up part of their workload, you also actively ask if they need assistance.

Also you have:

  • Excellend command of English (both written and verbal)
  • HBO level thinking
  • 3 years relevant working experience
